Meeting Minutes September 19

Call to Order: 7:10 PM

Treasurer’s Update
Statements
- Tami is working on the statements. She will be sending out the balances.
Current Bank Balance
- There is $10,000 currently in the LGA bank account. The leos , clinic, and USAG fees have been paid for.
Monthly Fees
- Tami doesn’t think all the members have paid their first monthly fees yet. The next monthly fees are due October 1st.
President’s Update
- Motion to approve August meeting minutes was made by Sharon Zafarana, seconded by Sandy Haas. All in favor, no one opposed. Motion passed.
Millionaire Night Schedule & Instructions
- The event schedule is full on every shift. Missy has collected the name of volunteers and their cell phones. Missy will email everyone the list in case a volunteer doesn’t show up for their scheduled shift, to get in contact with them. Missy has also put together a work instruction sheet to help the volunteers, she will email this out also. Volunteers should arrive approximately 10 minutes before your shift starts to get instructions from the Aim High workers. All the information will go on a flash drive, the spreadsheets are on the computer and one person will input the amount incoming and outgoing and the other person will cash in and out the chips. There is a sign up sheet for each day, please make sure you sign on the correct sheet. This fund raiser runs really well and it is a very easy way to earn a lot of money for our gymnasts. We are also having two more millionaire nights, one in November and one in January. We are still deciding which will be general and which will be personal.
Volunteer Description List
- Missy has put all the volunteer names and job information onto a spreadsheet and she will be emailing this information out to everyone. There are still some positions available, please look over the descriptions to see what you might be interested in so you won’t be charged the fee for not completing your hours.
Vice President’s Update
Hayride Update
- There was a total of 74 people at the hayride. Carrie didn’t receive feedback that night, but it sounds like everyone enjoyed themselves. The kids got split up and then found each other again in the maze. It worked out very well and was very successful!
Soup Kitchen
- Carrie has several other ideas of team building and community service projects. St. Christine soup kitchen is in downtown Detroit. There is probably a 16 or 18 year age limit for serving.
Halloween Costume Fund Raiser
- Carrie can look further into a Halloween costume fund raiser if people are interested. The quality is said to be the same a store bought costumes with wholesale prices. The gym would receive a 15% commission. The company states that there is no handling of money or products. This fund raiser can also be opened to the recreation gymnasts. The questions from the members present at the meeting included, is there a catalog, do you order online, are the costumes sent separately? A problem would be that the costumes wouldn’t be able to be tried on.
Joey’s Comedy Fund Raiser
- Carrie is also looking into dates available for an adult evening comedy fund raiser, this is a personal fund raiser. In the past we have gone to the 5:00 show on a Saturday, because this one needs less tickets sold. Carrie will update everyone when she finds out more information.
Miscellaneous
- Missy will be putting a small box on the gymnast’s filing cabinet with extra paperwork. She will email information out and save paperwork by not having to make so many copies. Fee sheets will be in folders.
Bulletin Board
- There is a volunteer that will be updating the bulletin board monthly, taking down outdated items and putting up new information, pictures, meet results, etc.
Spring Leo Sales
- There will be a new and a used leo sale in the spring.
Gymnast’s Phone Cards
- Sondra Soave will be working on the phone cards, she would like to take pictures of the girls during the gymnast clinic in October, the only problem is that all the girls won’t be there.
Zap Zone Team Building Event
- Chris Weak won’t be able to speak with the woman from Zap Zone, until after October 1st. due to the woman being away from work until then. Chris should have more information at our October meeting.
Updated LGA Website
- Brian Yee is updating the website, making it more user friendly for everyone. He has re-launched the website, made it more up to date. It will be able to be used as a blogging format, this is geared just for the booster club members. The fee schedule will be on there, and information on the sponsors with links to their websites. Val has a separate website for the recreation program. We can also add pictures from each meet and pictures from community involvement, for example Hannah’s Socks, canned good collection, etc. Please take a look at the website and let Brian know what you like and also if there is something you dislike.
Northville Homeless
- Sandy Haas will look into the opportunities that would be available for our gymnasts to help with. She reminds you to check the expiration dates on the canned goods before donating them. They have to throw out the food that is expired. Sandy says that canned meats and fruits, soaps and feminine supplies are extremely needed.
Meet Schedule
- Val has emailed out the meet schedule.
Meet Hotel Reservations
- Sue Dillon has volunteered to work on the Chicago hotels reservations information and Missy will speak with her to see if she will also work on the Kentucky reservations. Jill Ohland reminded us that we can use Scrip cards for hotels such as Marriott. Tami will check on Homewood Suites. Most people stayed there or Marriott last year.
Spirit Wear
- Sharon Zafarana and Tammy Willson will be the volunteers in charge for this years spirit wear. The products might be ordered from Livonia based Mc Gowan’s this year. The quality of spirit wear last year was not as good as we like. The pajama pants lost their softness after being washed. Tammy will put together an order form. Sharon and Tammy will inquire on what products are available to order. Some suggestions were golf shirts, pajama pants, shorts, fleece, long and short sleeved form fitting shirts, hats, and blankets. Wendi Rhoad suggested using a smaller logo in the corner instead of the large center logo of the past, several people didn’t like the overwhelming large logo. Martha Wasen suggested that the same items be available in youth and adult sizes.
Fleece Blankets Community Project
- Sondra Soave suggested that the girls get together and make 2 fleece blankets each, one for themselves and a small one to donate to the Humane Society for the cat cages. It was suggested that they make red and black ones. The fleece is the same material that is used on the flip flops. There are still a few pairs of black flip flops left at Old Navy.
Motion to adjourn meeting was made by Jill Ohland, seconded by Chris Weak. All in favor, meeting adjourned at 7:51 pm.
