Website (1 person/4 hours) (Amit Chatterjee)
- Update website information such as meeting dates, meet scores, etc.
- Post monthly meeting minutes
- Ensure the annual fee for the web site is paid by Booster Club
- Upload Pictures of Meets/Booster Club Events
Website Designer (1 person/8 hours) (Brian Yee)
- Design the new website
- Create links for sponsorship businesses
- Update the website for functionality
Welcome to the Season Picnic (1 person/8 hours) (Closed)
- Someone (a very generous person) volunteers to sponsor the club at their Swim Club, or organize another team activity
- Food for the picnic (helpful to designate each level to one type of food such as dessert, snack, salad, fruit/vegetables, etc.)
- Invitations
- Decorations- very simple
- Arrange Volunteers for Setup and Cleanup-you don’t need be a couple of people
- You may use an excel sheet for the RSVP
- Budget is generally $100. If more is needed an approval and vote from the general membership will be required.
- Keep track of expenses and income via excel spread sheet.
- Must have all receipts
Food
Pizza is easiest, or could arrange BBQ
Establish a sign-up sheet or designated certain levels to bring certain items such as fruit, veggies, side dishes, desserts, appetizers, etc.
Invitations
Print up invitations. Consider mailing the invitations and/or placing the information on the website and/or putting a copy in each gymnast mailbox and emailing to each family. Hang a copy of the invitation on the Booster Club board and around the locker room and waiting area.
End of Season Banquet (1 person/8 hours) (Angie Mills)
This volunteer will collaborate with Val on a date for the Banquet. Consider other school events such as graduations, honor student banquets, etc when planning the date.
Determine budget for this event by collaborating with the Treasurer. Determine location for the event based upon the budget. In the past the Booster Club covered the expense for the gymnasts. Family members wishing to attend will be expected to pay for those attending beyond the gymnast.
Decorations will be part of the budget as well as invitations to the event. Invitations will need to be designed and distributed. On the invitations be sure to include information on location, price, checks payable to LGA Booster Club, where to turn in the RSVP and payment. Consider sending the invitations in the mail if budget allows. Otherwise invitation can be placed in gymnast mailbox, group email, and posted on web site.
Budget also includes gymnast gifts and coaching staff gifts. Prior to ordering gifts please obtain approval from board or members.
Consider prearranged seating. Gymnasts sit together typically. Place coaches at a separate table. Consider pre arranged seating for gymnast families as well. Please also consider seating coaches together so that they eat immediately after the gymnasts in order to ensure timely presentation of awards.
End of Season Gymnast Gifts (1 person /2 hours) (Kristin Gowman)
This position is responsible for researching and ordering end of season gymnast gifts within budget allowance after board approval. To coordinate with the Banquet coordinator and the board.
Banquet Set-up/ Clean-Up (1 person/2 hours) (Raeanne Schulte)
This position will work with the coordinator and assist with preparations for the Banquet, help set-up and clean-up following the event
Corporate Sponsorship Committee Chairperson (1 person/8 hours) (Wendi Rhoad)
This volunteer will coordinate sponsorship information with the Booster Club board and other volunteers in regards to:
- Coordination or ordering of Photo Plaques for qualifying businesses
- Coordination or ordering of Sponsorship T-Shirts
- Writing and sending Thank You notes to all sponsorships obtained
Sponsorship Plaques/Team Photo (1 person/2 hours) (Natalie Molnar)
This volunteer will determine vendor for plaques. Previously, plaques were ordered from Hasty Awards (previous contact was Angie at ext 129). Most of the order can be done over email. For the sponsors in the past we ordered: PIC-57 plaque, size 9X12, holds 5X7 photo. The plague should state: “Proud (insert level of sponsorship) Sponsor of Livonia Gymnastics Competitive Team” “(sponsor company name)”, “(year)”. Plaques to be ordered for Platinum or Diamond level sponsors only.
We also order a plaque for the gym that hangs on the wall in the locker room. Item PQ-1013WE. The plaque should be listing all the sponsors of platinum or diamond level.
A photo of the (include every level) competition team will also need to be taken for the plaque. This can be done by one of the gymnast’s family members or a professional photographer if the price is reasonable. Coordination of the date for this will need to be planned for in advance in collaboration with Val and timed around arrival of the season’s leotard.
Sponsorship T-Shirts (1 person/2 hours) (Amy Downie)
The responsibility of this person is to obtain all sponsorship information to be placed on the back of a t-shirt. That means from Bronze up to Diamond levels.
Each gymnast that obtained a sponsorship over $50 is to receive a free t-shirt.
Once t-shirt design is determined you will need to work with a printing company. In the past Brand Image was used. This company has our logo on file. We will offer those who did not earn a t-shirt the opportunity to order a shirt. It is wonderful for the families to wear at a meet to represent our team and give our sponsors advertisement. We may want to consider offering the coaches a shirt. We will no longer be providing the sponsors t-shirts as part of our program.
When the t-shirts arrive you will be in charge of dispersing the shirts to the proper families.
Sponsorship Thank You Letters (1 person/2 hours) (Open)
This volunteer will draft and submit thank you letters to all team business sponsors which includes signatures of all the board members.
Team Phone Cards (1-2 persons/2 hours) (Sondra Soave, Mari Wilks)
The volunteer will create a phone list for all the gymnasts. This person is responsible for compiling all the team information into individual lists that are provided to each gymnast. Families can keep the lists with them especially when attending meets, the phone numbers may be helpful in case of emergency.
Spirit Decoration Committee (1 person per level / 4 hours)

This position involves coordinating banners and other decorations in the gym which announce the next meet. This can be done by the gymnasts as a group or by parent volunteer. If this is done by the gymnasts the parent volunteer is in charge of coordinating a date amongst the team members to complete the activity. This can be a fun team building activity. Usually each gymnast will have a decoration hung in the locker room with their name on it along with the meet type/date/time. Typically the size is around 3X5 inches. When the meet is over the decoration is given to the gymnast in their mailbox. Some of the gymnasts choose to place them in their scrap books.
Holiday Party (1 – 2 persons /2 hours) (Open)
This volunteer will coordinate the date and time with the coaching staff. This volunteer will assist with arranging food, decorations and gift exchange at the party. This volunteer will determine if donations of supplies from families are required and will arrange for parent sign-up if indicated. This volunteer will collaborate with the Booster Club board to determine budget available for the event. The volunteer will submit all receipts and keep an electronic spread sheet of income/expenses related to the event.
Holiday Coaches Gifts (1 person /2 hours) (Open)
This position is responsible for requesting donations from each level of gymnasts for a holiday gift and an end of the season gift.
All coaches involved in helping the gymnasts should be included. Typically the two head coaches receive larger gifts and the assistant coaches receive a smaller gift. Gift cards to a store or gift credit cards which are universal are nice ideas.
Team Building Activities (1 to 2 persons /4 hours) (Martha Wasen)
This person can encourage gymnast team spirit by coordinating group activities for individual team levels or all of the teams. Examples are attending U of M Gymnastics Team Meets, craft projects, decorating and signage for upcoming meets, team breakfast, etc.
Reporter (1 person /8 hours) (Amy Boyk)
This volunteer writes a brief article about each meet and submits the information to the local paper(s) for publication.
Condense the information into a few paragraphs highlighting the team’s performance overall, and LGA gymnasts who finished in the top ten in each event, as well as overall. I would forward the “story” to Brad Emons, the Sports Editor for the Livonia Observer, at bemons@hometownlife.com<mailto:bemons@hometownlife.com
You can post the “articles” or summary of the meet results should have at the gym, so that all LGA members were aware of our team’s performances.
Team Photographer (one person per level / 4 hours)

This individual will take photos at each meet. These photos can be utilized for the newspaper articles, year book, web site, displays on the information board, etc.
Meet Score Recorder (one person per level /8 hours)

Record the meet scores for each gymnast at each meet. Use template provided by the board to compile scores electronically. Provide information from meets/results to the LGA reporter and web site manager. Provide information to Spirit Committee regarding upcoming meets and/or changes in meet schedule, etc.
Fund Raising
The Vice-President role is to coordinate fund raising ideas. Volunteers to chair these fund raisers is the role of this position. Booster Club members are welcome to come up with ideas for fund raising activities and this is strongly encouraged. Be advised that all activities must be approved by the Board and the members of the Booster Club.
Each fund raising activity has its own responsibilities based upon what the fund raiser is. Some fund raising activities will be for the general fund and others can be designed for the individual gymnast account.
SCRIPS Cards (1 Person / 8 hours) (Ohland)
Spirit Wear Sale (1- 2 persons / 8 hours) (Sharon Zafarana, Tammy Willson)
This activity can be offered to all competitive and non-competitive gymnasts. This involves determining a particular company to design and print or stitch our logo onto clothing, jackets, etc. In the past we have used .It may be helpful to stick with the same company as switching companies can involve additional fees to the spirit wear and ultimately less profit to the Booster Club. Typically spirit wear is marked up slightly as this is also a fund raiser for the Booster Club general fund. In the past, the volunteer works with the company to obtain samples which are displayed within the waiting area of the gym. This helps with families knowing ahead of time what they are ordering as all sales are final. You will develop order sheets that will be passed out to each gymnast or placed in mailboxes. You may want to email the order forms to the group or place one on the web site. After compiling the orders, you will place the order with the company, pick up the group order, coordinate payment with LGA Booster Club check with the Treasurer, and distribute the order. You may request assistance with distribution especially with non-team orders.
New Leotard Sale (1 person/ 4 hours) (Jenny Lyons)
This volunteer will coordinate the sale during registration periods or the first week of a new session. The responsibilities include obtaining approval from the Booster Club board and its members, determining a leotard sales company and ordering leotards, scrunches, shorts and/or shirts for sale. Then delivery and pick up of the leotards needs to be arranged. Pricing of the leotards, etc. should include a slight mark up as this is also a fund raiser. A volunteer schedule should be devised with ample time for sign-up of volunteers. This individual is also responsible for coordinating use of a cash box, sales receipt book and cash to start out the box for making change. This individual is also responsible for coordinating the money to be given to the treasurer. This volunteer also coordinates use of racks to hold the leotards for display during the sale. The volunteer will be responsible for counting the remaining leotards and returning them to the distributor. Profits should be coordinated with the Treasurer.
Used Leotard Sale (1 person/4 hours) (Kellie Dummer)
This volunteer will coordinate the used Leo sale and manage the volunteer schedule. Racks are available to display the leotards that are for sale. This volunteer will coordinate the dates and times of the sale after approval from the Booster Club Board and membership, distribute flyers to the gymnasts via hand outs, mail box placements, posting on the web site and group email. Typically the gymnasts wanting to sell their leotards bring them to the gym on a hanger with an envelope attached to the leotard. The envelope should have the price for the leotard, the gymnast name, and level. When the leotard is sold the money is placed in the gymnast’s envelope then in the cash box. At the end of the night the gymnast’s parents will be given their envelope directly.
Coordinator for Professional Photographer (2 persons/4 hours) (Carrie Yessler, Open)
This volunteer assists with organizing a professional photographer to come to the gym to take professional photographs of the entire competition team, as well as each level and individual pictures. Determine best date for this with Val and any preferred photographers. It is best to try and arrange the photographs earlier in the season around the time that the leotards arrive for the entire team. Organize the groups, collect monies and order forms. Coordinate all schedules with Val.
Banner Order (1 person /2 hours) (Open)
This volunteer is responsible for ordering the state meet result banner. The volunteer will determine the accurate information based upon feedback from the head coach. In the past the signs have been ordered from “Signs by Tomorrow” on Plymouth Rd.
Bulletin Board Updating (1 person/8 hours) (Melissa Dawe)
This volunteer will update the bulletin board outside the gym annually for new lay out and monthly to ensure information is accurate and up to date. All outdate materials will be removed. Any information that this volunteer is unsure about, the volunteer should review with a board member prior to taking action. The bulletin board should include Meeting Minutes, Meet information, Meet results, Pictures, etc. The bulletin board should be updated monthly throughout the season.
Gymnast Competition Bag Order (1 person/2 hours) (Elaine Machovec)
This volunteer will coordinate annual orders for gymnast’s competition bag. You will be responsible for obtaining the name that is to be embroidered on the bag from each new family. You will submit the order, pick it up and distribute the order to members. In the past we have used Detroit LaCrosse Company in Novi, MI.
Hair Clinic and Flip Flop/Hair Tie Assembly (1 person /2 hours) (Paula Divens)
This volunteer will coordinate a date prior to team picture day to demonstrate techniques for completing competition hair styles. This person can pre order and purchase enough bun covers for each gymnast to be sold at the event. The person can also create material strips that can be used for decorating hair ties or flip flops.
Hotel Coordinator – Chicago and Kentucky Meets (1 Person/2 hours) (Sue Dillon)
This volunteer will be responsible for communicating with head coaches on host hotel and surrounding area hotel to coordinate room blocks for LGA. This coordinator will work to establish an online reservation option, or if required, paper forms to be submitted to the hotel.
